Billing & Invoices

Manage your subscription, update payment methods, download invoices, and understand charges.

Billing Overview

Navigate to Settings → Billing to view and manage your subscription. The billing dashboard shows:

  • Current Plan — Your active plan and billing cycle
  • Trial Status — If applicable, remaining trial days and trial-specific banners
  • Next Invoice — Date and estimated amount of your next charge
  • Payment Method — The payment method on file
  • Usage Overview — Current usage across three categories:
    • Documents — Documents sent this period vs. your plan limit
    • AI Credits — AI analysis credits consumed vs. available
    • Storage — Storage used vs. your plan allowance

Billing Contact

Configure billing-specific contact details (separate from your account settings):

  • Billing Contact — Name of the person or department for billing inquiries
  • Billing Email — Email address for invoice delivery and billing notifications
  • TAX ID / VAT — Your tax identification number for invoice compliance
  • Auto Reconcile — Toggle automatic reconciliation of payments
  • Invoice Delivery — PDF + API (with NetSuite sync)

Invoices

Viewing Invoices

All past invoices are available in the Invoice History section. Each invoice shows:

  • Invoice number and date
  • Plan name and billing period
  • Amount charged
  • Payment status

Downloading Invoices

Click Download on any invoice to get a printer-friendly PDF suitable for expense reports and accounting.

Payment Methods

ZiaSign uses Razorpay as the payment gateway. Supported payment methods include:

  • Card — Credit and debit cards
  • UPI — UPI payments
  • Netbanking — All major banks
  • Wallet — Digital wallets
  • Paylater — Buy now, pay later options
  • EMI — Card-based EMI
  • Cardless EMI — EMI without a card

Updating Payment Method

  1. Go to Settings → Billing
  2. Click Update Payment Method
  3. Select your preferred payment method and complete checkout
  4. Click Save

Your payment information is processed and stored securely by Razorpay. ZiaSign never sees or stores your full payment details.

Failed Payments

If a payment fails:

  1. You receive an email notification
  2. We retry the charge automatically after 3 days, then 5 days
  3. If all retries fail, your account features are restricted until payment is resolved
  4. Your documents and data are preserved for 30 days — update your payment to reactivate

Add-Ons

Purchase additional capacity beyond your plan limits:

  • Extra Documents — Buy additional document sending credits
  • Extra AI Credits — Top up your AI contract analysis credits
  • Extra Storage — Increase your storage allowance

Add-ons are quantity-based and can be purchased from the Add-Ons section on the billing page.

Coupons & Promotions

  • Redeem a Coupon — Enter a coupon code to apply a discount to your subscription
  • Active Promotions — View any currently active promotional offers or discounts applied to your account

Billing Cycles

  • Monthly billing — Charged on the same date each month (e.g., started on the 15th = billed on the 15th)
  • Annual billing — Charged once per year on your subscription anniversary

Prorating

  • Upgrades are prorated immediately — you're charged the difference for the remainder of the billing period
  • Downgrades take effect at the end of the billing period — no partial refund
  • Seat additions are prorated for the remainder of the billing period
  • Seat removals take effect at the next billing cycle

Tax Information

ZiaSign charges applicable sales tax/VAT based on your billing address. To add a tax ID for reverse-charge or zero-rate VAT:

  1. Go to Settings → Billing
  2. Enter your VAT/GST/Tax ID in the billing contact section
  3. ZiaSign validates the ID and adjusts future invoices accordingly

Cancellation

To cancel your subscription:

  1. Go to Settings → Billing
  2. Click Cancel Subscription
  3. Confirm your reason for cancelling
  4. Your plan remains active until the end of the current billing period
  5. After expiration, your account access is restricted — your documents remain safe but sending is disabled
  6. All documents and data are preserved — you can reactivate anytime

Frequently asked questions

What payment methods do you accept?

We accept cards, UPI, netbanking, wallets, Paylater, EMI, and cardless EMI through our payment partner Razorpay. Enterprise plans can also pay via invoice with bank transfer.

Can I get a refund?

We offer a full refund within 14 days of purchase if you're not satisfied. After 14 days, we offer prorated credits for the unused portion of your subscription.

How do I update my payment method?

Go to Settings → Billing → Payment Method. Click 'Update' to enter new payment details. The change applies to your next billing cycle.
